WWF  Great Wild Walks Terms and Conditions  

  

By completing the registration form for Great Wild Walks ("The Event"), you agree to the following Terms and Conditions:   

  

1. Registration 

1.1 This event is being organised for and promoted by WWF UK. By completing this registration form and signing up for a Great Wild Walk event you acknowledge and consent to WWF sharing your personal information with our event suppliers, to assist them with planning, operating and managing the event on behalf of WWF.  

1.2 You agree to pay a registration fee to secure your place in the event (£5 for over 16's). The registration fee is non-refundable except in the instance of the event being cancelled or postponed by WWF (see point 4.1). All participants who have successfully registered and paid their registration fee will receive an email confirming their place in the event.  

1.3 Persons under the age of 16 years old on the date of the event may register to take part but must be accompanied and always supervised by a responsible adult. The accompanying adult must also be registered to participate in the event and must agree to the terms and conditions on behalf of all under 16's in their party. 

1.4 The suggested minimum age for the event is 8. Anyone taking part in the event must be able to make their way around the full route. 

1.5 You confirm you have included correct and accurate information on the form including your date of birth. 

  

2. The event 

2.1 You acknowledge that you will be contacted by WWF and representatives (such as volunteers) by email, phone, SMS and post in relation to your Great Wild Walk, to allow your successful participation in the event. 

2.2 You acknowledge that training for and participation in the event involves potentially strenuous physical activity and risk of personal injury. You confirm that, to the best of your knowledge, you are suitably healthy and have a sufficient level of fitness to take part in the event. You will be taking part in and completing the event at your own risk.  

2.3 If you have a medical condition or are unsure of your physical ability to take part in the event, you must seek medical advice from a general practitioner prior to participating in the event. 

2.4 You agree to follow all reasonable rules and instructions given by the event organisers, event management company and their authorised representatives. You are responsible for your own actions or inactions. Where these differ from the wishes of the event organiser, neither the organiser, WWF UK, it's employees, or agents can be held responsible for loss or damage to personal effects, injury or death. 

2.5 You acknowledge you are fully responsible for your participation in Great Wild Walks and WWF UK does not accept responsibility or liability for any loss or damage arising from your event. 

2.6 First aid facilities will be provided at each Event. If you are treated by medical providers at an Event, your details may be passed on to the provider for health and safety purposes and to fulfil legal obligations (including those under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013). 

2.7 In case of an emergency, we may also pass personal details provided by you to the emergency services or health care professionals and use them for the purposes of contacting your emergency contact.  

2.8 WWF UK reserve the right on reasonable grounds to refuse participation to anyone at any time without having to disclose the reason.   

2.9 Alcohol and illegal substances are strictly prohibited from this event. 

2.10 Event routes will be sign posted and marshalled by volunteers, however participants remain responsible for navigating themselves from start to finish.    

2.11 You acknowledge the timings, date, routes, distances and itinerary are subject to change should climatic or other unforeseen circumstances deem this necessary. 

2.12 You agree that WWF UK may use without payment, notice, or further consent any photographs, videos, and other images in which you appear which are taken at an event by the organiser or their suppliers, our employees or any participant or other person attending, in our brochure, website, social network marketing activities or any other relevant promotional material. WWF UK will not, however, identify anyone by name without their agreement. Should you prefer that WWF UK do not use any such images in which you may appear which are taken at the event in any promotional materials or if you do not wish to be the subject of any photography, please notify us by emailing fundraising@wwf.org.uk 

2.13 We ask for dogs attending the event to be kept on a lead. Please remember that you are responsible for your dog and its actions for the entirety of your visit.   

  

3. Fundraising 

3.1 You agree that this event involves pledging to raise £150 for WWF UK, which does not include your registration fee. Sponsorship money will be paid to WWF UK no later than 4 weeks after the event date. All payments to WWF UK shall be made via debit or credit card, cheque, bank transfer or via a secure online fundraising page.   

3.2 You agree to fundraise in accordance with our Fundraiser's code of practice:   

3.2.1 I will not use the WWF UK or any associated logo without first obtaining permission from WWF UK and will allow WWF UK to approve any materials produced whether printed or online.  

3.2.2 I will tell my sponsors that I am raising money "in aid of" WWF UK.  

3.2.3 I will not incur nor am I authorised to incur any cost, claim, loss, or liability on behalf of WWF UK.  

3.2.4 I will contact WWF UK before conducting any raffle, lottery, or public event, and comply with any guidance, guidelines or insurance and legal requirements issued by the WWF UK in connection with this kind of event.  

3.2.5 I will obtain approval from WWF UK before approaching press or celebrities to support my event.  

3.2.6 I will secure the necessary approvals prior to undertaking street collections or collections on private property. House-to-house collections are not permitted.  

3.3 Any fundraised money collected must be forwarded to WWF UK and this will be treated as a donation unless sponsors specifically ask for it to be returned to them. WWF UK is unable to return anonymous donations. You agree that should you, for whatever reason, not take part in the event or the event is cancelled, it is your responsibility to contact your sponsors telling them you are no longer participating in the event, and what will happen to their sponsorship money. 

3.4 You understand that to qualify for a fundraising reward, you must have raised the minimum target amount, as outlined below, by no later than 17:00hrs on the date listed. Late entries will not be considered. 

All applicable persons will receive the relevant fundraising incentive(s), to be collected on the day at the event they are registered to attend. Fundraising rewards are available while stocks last.. The incentive is non-transferable and cannot be exchanged for the cash equivalent. The fundraising targets and applicable rewards are as set out below and are cumulative (so, by way of example only, if your fundraising total is equal to or exceeds £250 you will be entitled to receive all the applicable rewards as set out below). Fundraising totals do not include Gift Aid: 

To qualify for a WWF wooden keyring incentive reward, you must have raised a minimum of £150 (excluding Gift Aid) by no later than 23:59hrs by:

  • Great Wild Walk Alice Holt Forest  - Friday 17th May 2024
  • Great Wild Walk Sherwood Pines - Friday 31st May 2024
  • Great Wild Walk Epping Forest - Friday 21st June 2024
  • Great Wild Walk Forest of Dean - Friday 5th July 202

To also qualify for a WWF neck buff incentive reward, you must have raised a minimum of £250 (excluding Gift Aid) by no later than 23:59hrs by:

  • Great Wild Walk Alice Holt Forest  - Friday 17th May 2024
  • Great Wild Walk Sherwood Pines - Friday 31st May 2024
  • Great Wild Walk Epping Forest - Friday 21st June 2024
  • Great Wild Walk Forest of Dean - Friday 5th July 2024

  

  

4. Cancellation  

4.1 WWF UK may need to change the time, date or route of the event or cancel the event entirely due to circumstance beyond their reasonable control. In cases of the event being cancelled or postponed, participants will be notified as soon as possible by email and will have the option to receive a full refund of their registration fee.   

4.2 Should you cancel your place for any reason, you will not be eligible for a refund. If you have to withdraw prior to the event, you must notify WWF UK immediately by emailing fundraising@wwf.org.uk . This means we can re-allocate your place to someone else. Any money raised will be retained as a donation. If you wish to refund your donors in this instance, you must ask your individual donors to make a written request to WWF UK, as they will need to be refunded directly.
